Acquisition Section 

Deals with the purchase of books and other information material for the library as per the recommendations received from Schools/Departments. Information material includes books, reference books, project books, gift books, serial publications, theses/dissertations,  government publications - census reports in both print and disk form

  • Receiving grants for the purchase of books and other material except the current periodicals and online databases. 

  • Allocation of book grant to Schools / Departments

  • Receiving indents,  checking for duplicates, placing orders, receiving and accessioning (Bar-coding) books etc., then sending them to books processing section and  bills to finance section for payment to vendors/publishers.

  • Accessioning Project Books and returning bills to departments/project coordinators

  • Barcode label printing and fixing 3M tags

  • Accepting the gift books (those are useful, physically in good condition and not duplicate in the library) and sending acknowledgment letters to donors

  • Receiving library copies of Theses/Dissertations/Project reports from academic section in both print + Softcopy in disk

  • Accepting replacement of lost books/book sets (from borrowers) in circulation after a thorough verification of bibliographic details and physical condition

  • Estimation of cost for the lost books/sets, updating the status of books as ("book lost and cost recovered") in accession register 

  • Budget control, selecting vendors (including online), sending reminders for unsupplied items and canceling the time-out  orders.

  • Attending to both internal and external audit.

Book (Technical) Processing Section

Receive  books & other material acquired by library from Acquisition section and processes them with Classification, Cataloguing and assigning subject headings .  Library follows -

  • Dewey Decimal Classification scheme for classification

  • AACR2 for Cataloguing

  • Library of Congress Subject Headings

  • CA Cutter’s Author mark Tables for Book numbers etc.

  • The collection codes (alphabets) applied  before the Call number of each book or other material

  • For language books , the  data entry is done in transliterated form.

  • Section undertakes the data entry and physical processing operations and then release books to the Stack area for shelving. 

  • Database Updating works - Data entry of old books, corrections, status updates regarding replacement copies of books,  books written off and weeded out etc.

Circulation Section

This is the front end of library operations providing the lending services to the library users.  All the functions of this section is computerized and the transactions in this section are based on the barcode technology.  Since all the books in the library are bar-coded, check-out and check-in transactions are carried out using a Barcode scanners. 

All the Registered Library Users with Multipurpose Identification Card with barcode are provided with book borrowing facility.

Users can access the data of books borrowed by them and also be able to renew online 3 times (if the book is not requested by another borrower) through Online Public Access Catalogue using their university ID number and password from any where. 

  • The section undertakes the following tasks  related to CHECK OUT & CHECK IN

    • Enrolling members based on the Multipurpose ID card issued by the university.

    • Issue, Return or renewal of books

    • Deactivation of 3M Tags while issuing books and activation after books return to library

    • Issuing 'No-Dues Certificate'

  • The section also undertakes the following financial transactions and maintenance work.

    • Collection of overdue charges,  cost recovery or  accepting the replacement copies for the lost books from the borrowers and Issuing receipts.

    • Collection of deposit from  PDF Scholars and Retired Faculty and Issuing receipts. Arranging for refund of Caution Deposit  when the borrowers want to refrain from the borrowing facility.

    • Depositing the collected amount to Finance & Accounts  twice a week and sending the monthly statements to Finance & Audit.

    • Maintaining the Book cards, Borrowers /Accounts registers and receipt books

    • Preparation of Annual List of Loss of Books to update the accession records.

    • Updating the status of lost books in database.

  • Processing the overdue reminders for the return of books

  • Maintenance of 3M Electronic Security Gate System

Periodical Section

Subscription and maintenance of current periodicals (print/online), general magazines, newspapers, online databases/tools and back volumes.

  • Processing annual recommendations, placing new subscriptions/renewal orders, payments/advances, Journals receipts, preparation for bound volumes. 

  • Tracking the journal receipts and claiming missing/overdue issues.

  • Regulates the shelf arrangement of the current journals, displays recent arrivals daily.

  • Activation and monitoring the online access to print/online journals/databases and their usage.

  • Sciencedirect unsubscribed article delivery

  • NBHM Regional Library - maintaining print journals and back volumes 

  • Remote Access to E-Resources - monitoring the registrations and usage of RemoteX

  • Grammarly Edu - monitoring registrations and usage

  • Annual budget projections, monitoring  accounts and maintenance of  statistics

  • Attending to both internal and external audit

Information Technology Section

This is the hub of computerized activity of the library i.e., the back-end of automation activities in the library.

  • The maintenance Library Server, PCs (Hardware and software) and other peripheral devices

  • Network, Internet, connecting to the Campus-wide Local Area Network  (All the sections of the library and browsing/reading areas with structured cabling using Switches / Hubs at different levels).

  • Handling   Library Integrated Software  (Virtua), Proxy server, UPS connectivity, Operating System,  Internet and Wi-Fi

  • Maintains the computer workstations (hardware, software) in Internet browsing area,  OPAC , visually-challenged students  area and library sections.

  • Maintaining CD/DVDs purchased or received with books & journals. 

  • Database maintenance, data validation and OPAC (Online Public Access Catalogue).

  • Preparation of digital copies of books (free from copyright or approved by copy right holders)  and facilitating links in the respective bibliographic records to facilitate access to their full text through the catalogue.

  • Maintains the library website,  collecting information from other sections of the library.

  • Maintaining PGDLAN Lab infrastructure

  • Anti-plagiarism Support  - Facilitating registrations Turnitin the anti-plagiarism tool to faculty, monitoring usage,  preparing manuals/guidelines. Training/helping the users in plagiarism screening. Similarity Screening of final submissions to university. Certifying the students similarity report.

ETD (Electronic Theses and Dissertations) LAB

  • Undertakes the Digitization Activities of Library and the following types of resources.

    • Theses/dissertations/ project-reports (M.Tech.) submitted by university research scholars

    • Books as well as other documents not covered under copy right

    • University entrance question papers

  • Sending Theses/Dissertations to "Shodhganga",  the Repository Indian Electronic Theses/Dissertations (INFLIBNET)

  • Verification and maintenance of the softcopies submitted  by university research scholars in the form of CD/DVDs

  • Linking the soft copies (PDF) of theses/dissertations to the respective bibliographic records to facilitate access to their full text through the Online Public Access Catalogue.

  • Maintaining the hardware (scanners) /related software 

  • Maintaining the Braille Printer and providing printing service to visually challenged students.

Library/Librarian's Central Office (General Administration)

  • Formulation of Budget proposals, monitoring the expenditure. Settlement of bills, Advances/Imprest amounts etc. 

  • Liaison with administration, finance and engineering departments. 

  • Purchase of Equipment and other materials needed for library operation.

  • Library Building Maintenance

  • Maintenance of Stock, assets and Consumables registers

  • Attending to both internal and external audit

  • Conducting  stock verification of Books and unserviceable items in the library

  • Auction of Newspapers & magazines etc.

  • Warranties, Annual Maintenance Contracts for all library equipments - ACs, Library Servers, UPSs, 3M gate, Solar System

  • Privatization of Xerox unit.

  • Over all maintenance of Library building including housekeeping (outsourced) of the library, insurance,  and pest control etc.

  • Maintenance of attendance, leaves, shifts and holiday duty postings 

  • Organizes every year the Library Committee meeting in consultation with the office of the Vice Chancellor.

Binding Section:

  • This section is equipped with all the necessary equipment for binding books, current Journals and other materials. 

  • All types of binding i.e. Full Leather, Half Leather, Rexene, Cardboard, Paper and Ordinary binding etc., are undertaken including Gold-embossing.

  • Preparation of indents for bindery material, processing binding orders and bills of contract binders.

  • Accessioning the bound volumes of periodicals and maintenance of Accession Register for Periodical bound volumes.
